If you’re helping a parent move into assisted living, memory care, or long-term care, the paperwork can feel endless. Doctor orders, ADL forms, medication lists, insurance documents it’s a lot.
One thing that can help is creating a simple care folder with a few key sections:
• medications and pharmacy information• doctor contact information• insurance and policy numbers• hospital discharge paperwork• appointment notes• copies of POA or medical directives
Having everything in one place makes it much easier when a facility, doctor, or case worker asks for something quickly.
Many caregivers say the paperwork stage is one of the most stressful parts of the process, but once the information is organized it becomes much more manageable.
Sometimes the first step is simply getting everything into one place.
Put all important contacts in your mobile phone or other device.
Put things on your iCal or digital calendar so you can see forward and backward, and also have alerts and reminders.
Create portal access and account logins wherever possible.
Have a digital password keeper!

I remember back when helping my elderly parents, whenever they went to the doctor, the front desk would give me a clipboard and forms to either verify or fill out. I am very patient and organized but I was ready to scream if I saw one more set for forms to complete. If my parents had been to this doctor before, I would just write in large letters "same as before" on the blank form. All the info should have been already in their computer system.
